Purposes and data

We process personal data to handle applications, discuss suitable career opportunities and support agreed placement processes. This includes contact details, CV, career history, education, qualifications, job preferences, availability and relevant notes from personal conversations.

Providing data is generally voluntary. Without necessary information, we may be unable to handle a particular application or placement.

Applicant management and CV parsing

We use Manatal as our sole applicant tracking system. Applications received by email are initially processed through our business email infrastructure.

CV parsing helps capture information from submitted CVs and create candidate records and profiles. Profiles are based on your documents and relevant information from personal conversations.

Applicants are not automatically scored. People always decide on client introductions and rejections. There are no solely automated decisions producing legal or similarly significant effects. We do not upload direct application documents to ChatGPT or other additional AI services. Manatal’s technical subprocessors must be considered separately.

Additional LinkedIn information

Where needed, we supplement job-related details from lawfully accessible LinkedIn profiles when relevant to the specific placement, such as career history or qualifications. Where information is not obtained directly from you, we inform you of the categories, source and purpose as required by law.

Where permissible, this is based on Article 6(1)(f) GDPR and our legitimate interest in accurately supplementing professional information for personal placement services. We consider your interests and reasonable expectations.

Legal bases

Necessary data for placement requested by you is processed under Article 6(1)(b) GDPR where this serves a contract or pre-contractual steps with you. Applications for employment directly with S4G are processed in particular under section 26(1) of the German Federal Data Protection Act.

Talent pool membership and agreed named introductions to clients are based on your consent under Article 6(1)(a) GDPR. Necessary processing for legal claims may be based on Article 6(1)(f) GDPR. Legal obligations are fulfilled under Article 6(1)(c) GDPR.

Introductions to clients

Named introductions and disclosure of personal profiles take place only after discussion with you and your consent to the specific recipient and scope. Without this consent, we present only genuinely anonymised information, considering identification through combinations of details.

Candidate profiles are disclosed only to client companies within the European Union, never to clients outside the EU. The receiving company is generally responsible for its own processing.

Talent pool

With your separate written consent, we retain your details in our talent pool for one year to contact you about suitable opportunities. We request renewed consent before expiry. Only renewed agreement extends membership; silence does not constitute consent.

Without renewed consent, processing for talent pool purposes ends when the year expires. You may withdraw consent at any time with effect for the future.

Retention and deletion

Application data without talent pool consent is generally deleted after 14 days. The precise starting point of this period still requires confirmation in this working draft.

Talent pool data is deleted after the one-year consent period unless consent is renewed or there is an independent legal basis for continued processing.

Where individual data is still needed for legal obligations or specific legal claims, only the necessary information is retained for that purpose. It is not used for further placements without an appropriate basis.

Special documents

We do not specifically request health data or provide for its storage in the regular application process. Please do not submit unnecessary health information.

Criminal record certificates or comparable special documents are requested only in individual cases where necessary for the role and legally permissible. A client request alone is insufficient. Where required, we provide separate information on purpose, legal basis, recipients and retention beforehand.

Service providers and international processing

Manatal processes application data on our behalf. We use Google Workspace for email communications. Data processing agreements are in place.

Access to personal data is limited to people who need it to handle the relevant matter. Technical providers acting on our behalf process data under data processing agreements.

Our restriction to client companies within the EU concerns candidate introductions. This is separate from possible international processing by technical providers and their subprocessors. We do not assert that all providers process data exclusively in Europe.

Your rights

Subject to the statutory conditions, you have rights of access, rectification, erasure, restriction of processing and data portability. You may withdraw consent at any time with effect for the future; this does not affect the lawfulness of earlier processing.

For processing based on Article 6(1)(f) GDPR, you may object on grounds relating to your particular situation. You may object to direct marketing at any time. Contact: info@searchfour.de.

You may complain to a supervisory authority, particularly where you habitually reside, work or where the alleged infringement occurred. The regional supervisory authority responsible for our company is the North Rhine-Westphalia Commissioner for Data Protection and Freedom of Information.
